Privacy Policy

1. Who we are
This Privacy Policy describes how Chiller Tech Support LLC (“Company,” “we,” “us,” or “our”), a limited liability company organized under the laws of the State of Utah, collects, uses, and protects personal information through our platform at torquecms.io and the following products: Diagnostic AI, Chiller Tech Take-Off, Chiller Tech Investigator, Emergency Technician, and Chiller Tech Service Manager (collectively, the “Services”).
By using the Services you agree to the practices described in this Policy. Our Terms of Service govern the use of all Services and are incorporated by reference.
Chiller Tech Support LLC integrates third-party technology services through their official interfaces and is not affiliated with, endorsed by, or sponsored by any such provider.

2. Information we collect
Information you provide directly:
- Account registration: name, email address, and password (hashed — never stored in plain text).
- Diagnostic AI inputs: questions, equipment descriptions, fault codes, error descriptions, and other messages you submit — whether signed in or anonymous.
- Chiller Tech Take-Off inputs: project parameters such as tonnage, system type, and location you enter to generate an estimate.
- Chiller Tech Investigator uploads: photographs, inspection reports, field notes, and any other files you upload for analysis. These files may contain embedded metadata (GPS coordinates, device info). You are responsible for ensuring you have the right to upload each file.
- Payment information: billing details processed by Square. We do not store full card numbers. We retain transaction amounts, dates, and items purchased.
- Service requests and communications: name, phone, company, message content, and any correspondence you send via contact forms or Live Technician chat.
Information collected automatically:
- Log and usage data: IP address, browser type, operating system, pages visited, timestamps, and feature interactions.
- Session identifiers: cookies used to maintain authentication state. You may disable cookies in your browser settings.
We collect data from anonymous users of Diagnostic AI in the same way as from account holders. Queries are logged alongside IP address for service improvement and AI training purposes, subject to the opt-out in Section 5.
3. How we use your information
- To provide and operate the Services and all Chiller Tech Support LLC products.
- To process payments and manage subscription, service credit, and organization billing (including per-seat fees) through Square.
- To authenticate accounts and prevent fraud or unauthorized access.
- To respond to service requests, support inquiries, and contact form submissions.
- To send transactional communications: purchase receipts, low-credit alerts, and service confirmations.
- To train, fine-tune, and evaluate AI models that power Diagnostic AI, Chiller Tech Take-Off, and Chiller Tech Investigator — as described in Section 5.
- To monitor platform health, diagnose errors, and prevent abuse.
- To comply with applicable legal obligations.
4. How we share your information
Chiller Tech Support LLC does not sell or rent your personal information. We may share information only in the following circumstances:
- Service providers: Supabase (database and authentication), Square (payments), and AI model providers, each bound by data processing agreements and authorized to use your data only as directed by us.
- Legal requirements: when required by law, court order, or governmental authority, or to protect the rights, property, or safety of Chiller Tech Support LLC, our users, or others.
- Business transfers: in connection with a merger, acquisition, or asset sale. We will provide notice before your information is transferred and subject to a different privacy policy.
- With your consent: in any other circumstance with your explicit consent.
5. AI training and your right to opt out
Chiller Tech Support LLC trains its AI models — including those powering Diagnostic AI, Chiller Tech Take-Off, and Chiller Tech Investigator — using interactions submitted to the Services. This includes queries, diagnostic inputs, uploaded files, and session data from both signed-in and anonymous users.
Your right to opt out. You may request that your interactions not be included in AI training data exports by contacting us via torquecms.io/contact. Once your opt-out is recorded, future interactions will be flagged and excluded from training exports. Historical interactions already incorporated into trained models cannot be removed retroactively. See our Data Usage Policy for full details.
Chiller Tech Investigator files. Uploaded files may be used for AI training unless you opt out. We do not share raw uploaded files with third parties for their own training purposes.
5A. Service Manager — organization documentation and right to repair
Chiller Tech Service Manager stores service documentation uploaded by subscribing organizations (“Uploaded Documentation”) including equipment manuals, fault code libraries, and wiring diagrams. The following commitments apply to all Uploaded Documentation:
- Strict org isolation. Uploaded Documentation is stored in an encrypted, organization-scoped data partition. It is never accessible to, shared with, or used to train models on behalf of any other organization.
- No cross-org data use.Documentation uploaded by your organization will not be incorporated into any shared AI model, federated dataset, or aggregated knowledge base without your organization's explicit written consent.
- Right-to-repair alignment. This platform is designed to support independent repair professionals in accessing and using service documentation they lawfully possess, consistent with state right-to-repair statutes in California, Colorado, Minnesota, New York, Oregon, and other applicable jurisdictions, and with FTC policy guidance on independent repair access. See our Terms of Service Section 5A for the full right-to-repair framework.
- Deletion on request. Upon cancellation or written request, all Uploaded Documentation for your organization will be permanently deleted from our systems within 30 days.
6. Chiller Tech Investigator — special handling
Files uploaded to Chiller Tech Investigator may contain sensitive technical, business, or personal information. We handle these uploads with the following practices:
- Uploaded files are processed by AI systems and may be reviewed by authorized Chiller Tech Support LLC personnel for quality assurance and model improvement.
- We do not sell uploaded files or share them with third parties other than authorized service providers operating under data processing agreements.
- Do not upload attorney-client privileged communications, work-product protected documents, or files subject to a protective order unless you have obtained express authorization to do so.
7. Data retention
We retain personal information for as long as necessary to fulfill the purposes described in this Policy, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your account and associated personal data by contacting us; however, we may retain certain records as required by law or for legitimate business purposes.
8. Security
Chiller Tech Support LLC implements industry-standard technical and organizational security measures, including encrypted data storage (Supabase with row-level security), hashed passwords, TLS encryption in transit, and access controls. No system is completely secure. We will notify you of any confirmed data breach affecting your personal information as required by applicable law.
9. Your rights
Depending on your location, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate personal information.
- Request deletion of your personal information.
- Opt out of AI training data use.
- Object to or restrict certain processing activities.
- Receive a copy of your data in a portable format.
To exercise any of these rights, contact us via torquecms.io/contact. We will respond within 30 days of a verifiable request.
10. Children
The Services are not directed to individuals under 18 years of age. We do not knowingly collect personal information from minors. If you believe a minor has submitted personal information, please contact us and we will promptly delete it.
11. Changes to this Policy
Chiller Tech Support LLC may update this Privacy Policy from time to time. Material changes will be communicated via a notice on the platform at least 14 days before the new policy takes effect. Continued use of the Services after the effective date constitutes acceptance of the updated Policy.
